Kirana billing software: what a small grocery shop really needs
A kirana counter needs fast billing, loose and packed items, khata credit and stock that matches the shelf. Here is what to look for in kirana billing software — and what you can skip.
A kirana store is one of the hardest counters to bill. Hundreds of small items, some packed with barcodes and some sold loose by weight, regular customers who pay at month end, and a queue that does not wait while someone searches for an item code. Good kirana billing software makes that counter faster. The wrong one slows it down.
1. Fast billing at the counter
Look for barcode scanning for packed goods and quick search by name or short code for everything else. Holding a bill while one customer fetches something and serving the next is essential at a busy counter. Split payment across cash and UPI is now expected.
2. Loose items and weights
Rice, dal, sugar, oil and spices are sold by the kilo or litre. The software should accept decimal quantities and price them correctly, and keep loose stock in the same unit you buy it in.
3. Khata — credit for regular customers
Most kiranas run a notebook of who owes what. Billing software should keep that ledger for you: credit sales against each customer, payments received, and an outstanding list with how many days each amount has been pending. Sending the bill on WhatsApp makes the reminder easy.
4. Batch and expiry
Biscuits, packaged foods, beverages and personal care items expire. Tracking batch and expiry — and selling the nearest-expiry stock first — cuts the losses you only discover when a customer complains.
5. GST without extra work
If you are GST registered, invoices need the right HSN codes and tax rates, and GSTR-1 and GSTR-3B should come straight from your bills rather than being re-typed at month end.
6. Works offline
Internet in many neighbourhoods is unreliable. Billing software that runs on the shop PC keeps billing when the connection drops, with backups to the cloud when it returns.
What you can skip
A single-counter kirana does not need a full ERP, a general ledger or complex warehouse management. Start simple; move up when you add counters or branches.
